According to Tagabe (2021), the project communication management process allows for the effective information exchange through the implementation of communication designs. In essence, the communication process is twofolds – planning effective communication and implementing the communication strategy.

The main component of the project communication process includes the plan, the tools and techniques and the outputs (Tagabe, 2021). In order to plan the communication process, the project manager must first evaluate the nature of the information required for each stakeholder (Kimberley, 2021). By identifying the need for each, the project manager can then groups stakeholders into common groups that will ensure the project objective remain in effect. Added to the needs and competencies of the stakeholders, the project manager also needs to examine the assets and the business needs of the project to ensure the communication process is effective. Developing a stakeholder register makes it easier to monitor the contribution of each stakeholders and applicable groups (Tagabe, 2021). As stakeholders are internal and external to the organization, environmental factors are liable to affect the communication process (Kimberley, 2021). To this end, the project manager is to ensure such interferences are expected and measures put in place to avoid them.
The next stage of the process is to manage the communication. According to Tagabe (2021), this stage is critical in ensuring the information is collected in a timely manner, created, distributed, stored, retrieved, managed, monitored and disposed of effectively throughout the life cycle of the project. At this stage various tools are incorporated to manage the development of the process. Kimberley (2021) notes that the project manager enables a communication requirement analysis that will determine the type, and level of communication that is required. Such an analysis eliminates waste in the communication process and leads to a leaner more effective project communication. Equally important is the mode of technology and method used to communicate with the various stakeholder groups. Choosing the wrong technology or model can lead to ineffective communication and ultimate project failure.
The final stage in the communication process is ensuring the information needs of the project and all stakeholders are achieved (Tagabe, 2021). The outputs are evaluated against the objectives of the project. This is usually guided by the communication management plan and verified by effective and timely communication project updates. The importance and effectiveness of communication in any project contributes to the success or failure, same as the stakeholders.
